Frequently Asked Questions | Regarding Delegate Seat Allocation

At GIMUNC, each seat is not only an opportunity to speak, but also an expression of responsibility and accountability. We understand that delegates are looking forward to the seats they have been allocated, and we also understand that they may have questions during the seat allocation process. In order to ensure the fairness and transparency of the allocation, the secretariat of the conference will make a comprehensive evaluation and adjustment based on a number of criteria such as the order of registration, registration materials, academic evaluation and so on.​

We sincerely hope that every delegate can shine in his or her position. Whether or not you get the preferred seat, GIMUNC is an important platform for you to show your talent, exercise your expression and expand your international vision.

Below you will find a list of frequently asked questions related to seating. If you have further questions, please feel free to contact the Secretariat or use the GIMUNC MUN AI Assistant for assistance.

The conference will be based on a comprehensive assessment of a number of factors, including the order of delegate registration, quality of materials, and academic test scores, and the allocation of seats will be standardized.We are committed to ensuring that the process is open, fair, equitable and, as far as possible, balanced with the individual interests and abilities of delegates.

Delegates may indicate their preferred country and committee in the registration system, but the final seating arrangements will be adjusted by the General Assembly without any guarantee that individual wishes will be fully met.

In principle, GIMUNC does not accept requests for seat replacement.If you are not satisfied with the seat you have been offered, you may voluntarily relinquish the seat (with immediate effect) by contacting them before the registration system is closed.Seats for which registration is not completed within the stipulated time will be deemed to be automatically relinquished.

GIMUNC does not encourage the replacement of delegates, especially after the allocation of seats has been finalized. If a substitution is necessary for objective reasons, please contact the Liaison Officer as early as possible and pay the appropriate fee if relevant materials (e.g. delegate badges) have been produced. Please refer to the GIMUNC 2025 Fee Reminder for details of the refund policy.

GIMUNC strictly prohibits any form of private seat transfer.All seat adjustments must be approved by the General Assembly, and delegates will have their identity cards and student IDs verified at the time of registration to confirm their identity.

To protect the privacy of delegates, GIMUNC does not disclose specific information about any delegate or seat.

If the preferred seat is unavailable, priority will be given to the alternative option you have filled in. If there is still no match, we will take the initiative to contact you for coordination to ensure smooth participation.

Seating arrangements and delegate lists are expected to be announced in the fourth round of announcements (July), and delegates will be notified by email at that time.

No. GIMUNC requires all delegates to attend the entire conference to ensure the quality of the conference and the delegate experience. If you are unable to attend the entire meeting, please indicate clearly when registering and the Secretariat will adjust the seating arrangements accordingly.

Some committees may have dual representation and the arrangements will be specified in the Academic Circular.Unless specifically stated by the General Assembly, all seats default to single representation.If you need to apply for dual representation, please indicate so when registering, and the Secretariat will decide whether to approve it depending on the status of the committee.

GIMUNC is committed to creating an inclusive and diverse conference environment.If you have any special needs (e.g., barrier-free access, hearing support, etc.), please indicate them when registering or contact the Secretariat in advance, and we will do our best to assist accordingly.

Some committees or positions may be open for participation as observers, media representatives or volunteers. In the event of vacancies, the secretariat will provide further notification to registered delegates. Please pay close attention to the follow-up announcements or e-mail messages.

GIMUNC encourages delegates to take on different types of simulation committees. Specialized committees, such as the Crisis Committee and the History Committee, are highly interactive and uncertain and are suitable for delegates with some experience. Requests to change to a regular committee will not normally be accepted, except in exceptional circumstances and with the approval of the Secretariat.

GIMUNC will organize online or offline training and briefing sessions prior to the meeting to help delegates understand the rules of procedure, document formats and meeting processes.Delegates who have been offered a seat are strongly encouraged to attend, as unexcused absences may jeopardize attendance or be considered as abandonment.

Observer seats are generally available to participants who are interested in MUN but are not able to obtain a full delegate seat.Observers may observe the proceedings but do not have the right to vote or submit documents.If such a seat opens up, it will be announced on the website or by email and applications will be opened.

Observer States or non-member entities normally do not have voting rights, but may participate in statements, drafting and diplomatic consultations as usual.This category of seats remains highly representative and valuable for discussion in real-life simulations.Please prepare your national positions carefully.
